Administrator (ITL).

As an administrator, you manage and maintain the data in the system on the supplier side.

  • You create new users, locations or subcontractors of your company in the system.

  • They check your company's data in the system and correct it if something is wrong.

Important notes on the use of orca in accordance with the terms of use:

  • The role of administrator or the creation of users obliges the user to comply with appropriate security standards and procedures in accordance with the Terms of Use, section 5 ("Obligations of the user"), in particular 5.3.

  • Appropriate standards include the regular (at least annual) review of the user accounts created. User accounts that are no longer required or whose users no longer perform the associated role must be deactivated. If circumstances arise that require immediate deactivation, e.g. disclosure of user accounts, hacking attempts, breach of confidentiality, deactivation must be carried out immediately and orca GmbH must be informed of the circumstances and the deactivation.

  • If user data changes, it must be updated, e.g. name changes. Please contact Support if data needs to be changed but this is not possible.

  • All users who are assigned the role "use_mytools" in the BMW Partner Portal and can therefore perform the role of "tool coordinator" also have the role of administrator (ITL) and are subject to the above provisions.

  • Users can be deactivated in the list of users via the "three-dot menu" to the right of each user.


How do you create users?

1.1 Click on "Company".

1.2 Select the company for which you want to create a user.

1.4 Click on the 3-dot menu and select "New User".

1.5 Enter the email address, first and last name and select the user's language.

1.6 Select one of the user groups for the user and give him certain user rights. The user groups "IVL" and "ITL" belong to the tool coordinator, who can thus carry out all functions for suppliers in the system, including those of the other user groups (WVL and ID).

1.7 If you want to create a tool supervisor, select "WVL". A tool supervisor can perform inventories himself or forward them to inventory performers.

1.8 If you want to create an inventory taker, select "ID". An inventory taker can only take inventory.

1.9 To finally create the user, click on "Send link".

1.10. Now the new user is visible in the list of users. The registration link sent has a validity of 72 hours. If this has expired, you can create a new one by resetting the user's password. You can do this for the respective user on the far right in the three-dot menu (appears when you move the mouse over it).

2. how do you create new sites for your business?

Note: External warehouses in which tools are stored permanently (more than three months) are also regarded as a separate location. If the external warehouse does not already exist as a location, it can be created here as a normal location. If the external warehouse is located within the national borders of the original location, no separate agreement with the OEM is required.

2.1 Click on "Company".

2.2 Select the company for which you want to create a new location.

2.5 Enter a name/description. Select a country and enter the address of the location. Click Save to create the location.

2.6. Now the new location is visible in the list of locations.

3. how do you improve false location data?

3.1 Create a new location for this, correct the error and enter "Current" and the date "DD.MM.YYYY" at the end of the description.
