Stocktaker.

As stocktacker, you will be responsible for performing the complete inventory.

Look into your inventory orders and check which type of inventory is specified.

As a minimum, confirmation of the location and the company will be required. If necessary, additional evidence of the tooling (e.g. photos) and documentation must be provided. You can recognize this by the respective inventory type.

Important note for inventories with photos:

The photos must contain geodata, please make sure that the location services or geotagging are enabled on your device.

For Android devices:

Find and tap the camera settings on your smartphone > Tap 'Location tags' on or off to enable or disable your phone's GPS.
  

For Apple devices:

- Navigate to "Settings" > "Privacy" > "Location Services" and make sure that location services are activated.

- Scroll down to the desired app and select "Camera - when using".

- Open "Settings" > "Camera" > "Formats" - take out "High Efficiency" (HEIC) and set "Maximum Compatibility" (JPG).

Take the pictures on the device via the camera app. Click on the "+" symbol in orca, select "Photo library" (not "Take photo or video") and upload the pictures. 

It is important that the photos are first stored in the media library and then uploaded here, as this is the only way to transfer the geodata to orca.

 

In the following description you will be guided on how to process an inventory.

1. Click on "User tasks". Here you can start all your tasks and also close those after finishing the inventory. A small red symbol appears on the button for newly arrived tasks.

2. Select the "Carry out inventory" task for a specific inventory. To (re)find a specific task in this list, a search and filter function is also available.

3. Now click on "Inventory" to open the inventory order.

4. Select a tooling from the list. You can see the current processing status of the tooling on the icons. A short overview of the icons and their meaning can be found here.

5. Please check the location.

6.1 If this is correct, select "Yes, company and location confirmed" and click on "Confirm".

6.2. If the tooling is situated in a different location, click on "No, but there...", select the new location and click on "Confirm".

6.3. If the location of the tooling is not known or if it has been scrapped, select "Location unknown" and click "Confirm".

7. Taking photos - Take one photo of the inventory tag and one of the tooling as overview, then upload them using the "+" button. If the inventory is performed directly on a mobile device, the photos can also be taken directly in the browser. To do this, click on the button with the camera symbol.

8. Please note the following requirements for photos.

  • The format of the photos must be either JPG or JPEG.

  • The resolution must be at least 1024*768.

  • The photos must be taken with good lighting conditions, without reflections and mirroring.

  • The photos must be taken with GPS coordinations.

  • The GPS data must match with the data that is stored in the system as the location address.

  • If a new location was entered during the location check, the data is compared with it.

  • The inventory number must be recognizable and match the one in the system.

  • Each photo may only be used once, a comparison is made with existing tooling images.

  • The photos for the inventory must not be older than 6 months (photos for the ABL must not be older than 60 days!).

These conditions are automatically checked by the system. If one or more of the conditions are not fulfilled, this is displayed as a message. If a condition cannot be fulfilled, this must be sufficiently justified, otherwise the result cannot be accepted.

9. Click on "Confirm" after the images have been saved.

10. Now you can add a comment and/or attach a document. Then click on "Finish tooling".

11. If there are more toolings to run through the inventory in the order/sub-order, repeat steps 4 to 10 until all have been processed.

12. When all toolings of an order/sub-order have been processed correctly, click on "Report results" to send the completed inventory order to the next responsible person.

13. As soon as the order/sub-order is confirmed, you can "End Task" in the user tasks. This completes the process in your workspace.
